The Role

We are seeking a hands-on but strategically minded Warehouse Supervisor to take ownership of the company's warehouse operations and to build the warehouse capability. Beyond day-to-day execution, this role is expected to step back, diagnose where the current operation falls short of where the business is heading, and lead the improvement projects that close those gaps.

The role leads the warehouse team, safeguards inventory accuracy, controls receiving and dispatch, maintains hygiene and safety standards, improves warehouse layout and workflows, and ensures materials and finished goods move in line with production, quality, and customer delivery requirements.

Key Responsibilities

1. Strategic Oversight

Assess current warehouse capability against business growth plans, production scale-up, and export requirements. Identify structural gaps in capacity, layout, systems, manpower, process, and controls. Scope, plan, and lead warehouse improvement projects end to end— including layout redesign, racking and storage expansion, WMS or barcode/scanning implementation, SOP redesign, and material flow optimization.

2. Team Leadership

Lead, supervise, and develop the warehouse team, ensuring clear work allocation, shift coverage, performance monitoring, discipline, accountability, and professional development. Build capability and structure ahead of growth.

3. Inventory Accuracy & Stock Control

Maintain accurate inventory records across raw materials, packaging, and finished goods. Lead cycle counts and stock opname, investigate and resolve variances at source, and ensure system stock matches physical stock at all times.

4. Finance Reconciliation & Inventory Integrity Work closely with the Finance team to reconcile physical stock against ERP records and financial inventory reports. Coordinate with Finance to identify the root causes of stock loss, inventory variances, and unexplained adjustments. Support Finance in preparing inventory-related reports, including stock variance, write-offs, damaged goods, expired stock, and inventory adjustment summaries.

5. Receiving & Dispatch Manage end-to-end goods receiving and outbound dispatch, including verification against purchase orders and delivery documents, quantity and condition checks, QA/QC coordination for incoming materials, loading supervision, and on-time shipment to customers and distributors.

6. Storage, Layout & Material Flow Organize warehouse layout, storage zones, and material handling flow to maximize space utilization, minimize handling damage, and enable efficient picking, staging, and replenishment to production.

7. FIFO/FEFO & Shelf-Life Management Enforce FIFO/FEFO discipline, batch and lot traceability, and expiry monitoring. Proactively identify slow-moving, near-expiry, damaged, or obsolete stock and escalate for action.

8. Food Safety, Hygiene & Housekeeping Ensure the warehouse meets food safety, hygiene, pest control, temperature, and storage condition requirements. Maintain audit readiness at all times and support internal, customer, and certification audits.

9. Health, Safety & Equipment Enforce safe working practices, correct use of PPE, and safe operation of forklifts, pallet jacks, racking, and other equipment. 

10. Cross-Functional Coordination Coordinate closely with Production, PPIC, QA/QC, Procurement, Logistics, and Finance to ensure material availability, accurate staging against production schedules, and smooth fulfillment of customer orders. Surface upstream issues that create downstream warehouse problems, and drive them to resolution.

11. Reporting & Analysis

Prepare inventory reports, stock movement and aging analysis, receiving and dispatch tracking, discrepancy reports, improvement project updates, and other management reports as required.

Preferred

• Experience in food manufacturing, FMCG, or production-driven environments, with exposure to raw material, packaging, and finished goods warehousing.
• Experience operating under food safety, quality, traceability, and audit requirements (e.g. GMP, HACCP, BRC, or equivalent).
• Familiarity with inventory or warehouse management systems and strong data discipline.
• Fluent in English.
